ZenOptix

Switching to ZenOptix

Changing software is the hard part. That is the part we built for.

Most practices stay on software they have outgrown because moving feels risky. ZenOptix includes an import centre for your patients and history, and a readiness check that tells you when you are actually ready to go live.

Bring an export from your current system to the demo and we will look at it together.

The move

Four stages, with your data in front of you

No practice should agree a go-live date before it knows what is coming across. The sequence below is deliberately slow at the start and quick at the end.
  1. 01

    Assess

What your current system can export, which records must come across, and what can be archived instead.

  2. 02

    Import

Patients and history brought in through the import centre, with previous-system history preserved.

  3. 03

    Configure

Branches, opening hours, users and roles, appointment types, products and communication settings.

  4. 04

    Go live

The readiness centre live-checks configuration and scores how ready the practice is before you open.

Data migration

Your history arrives with you

Patients, contact details and clinical history are imported rather than retyped, and history from your previous system stays readable next to new activity. Data transfer needs to be assessed for your existing system, so the scope, the fields and the validation are agreed before anything is committed.
  • Patients, demographics and contact details
  • Clinical history from your previous system, preserved
  • Documents and attachments assessed as part of the scope
  • Validation pass before the practice goes live

Import Centre

Setup & Readiness

After the move

What changes on day one

A patient portal, included

Patients book their own appointments and see their prescriptions, without a bolt-on or a separate contract.

Nothing to install

Cloud-based and reachable from any branch, with UK-based hosting and no practice server to maintain.

A diary that knows your rota

Coverage rules, locum support and synced bank holidays stop the diary selling what you cannot deliver.

NHS-ready workflows

GOS claim preparation, referrals with NHS ODS lookup and validated NHS numbers on the record.

Lab orders sent in one click

Lab order PDFs emailed to a named lab on your behalf, with re-sends clearly flagged as updates.

Transparent running costs

SMS allowance and usage visible in the app, invoices and plan in the billing portal, accounting exports for your bookkeeper.

FAQ

The questions practices ask before they move

Patients and their history are brought across through the ZenOptix import centre, with previous-system history preserved so past activity stays readable alongside new activity. Data transfer has to be assessed against your current system and the export it can produce, so the scope is agreed and validated before you commit to a go-live date.

It depends on the number of branches, users and the state of the data you are bringing across. The setup and readiness centre live-checks your configuration and scores how ready the practice is, so progress is visible rather than guessed. Timescales are agreed with you during onboarding.

No. Historical records imported from your previous system are retained and remain visible on the patient record, so clinical history from before the switch stays available to your team.

Your practice does. ZenOptix processes practice and patient data on your behalf as your data processor, and you can export your data. See the data processing page for the detail.

ZenOptix is hosted on UK-based infrastructure and practice and patient data stays in the United Kingdom. Access is role-based and audit-focused, and support access requires practice approval, is time-limited and is fully audited.

ZenOptix is a cloud platform and needs a working internet connection. Practices normally plan for this with a backup connection such as a mobile hotspot, which is worth discussing during your demo alongside your branch setup.

Yes. Locum cover is supported with same-day, clinic-only visibility, so a temporary clinician sees the sessions they are covering without wider access to the practice.

ZenOptix supports NHS optical workflows: GOS claim preparation from the appointment, referrals with NHS ODS destination lookup, GP lookup and NHS number validation. GOS claims are prepared in ZenOptix rather than submitted electronically to PCSE or eGOS today, so confirm your submission route during a demo.

No. Multi-branch practices can plan the order of branches during onboarding. Each branch has its own data context and configuration, so a phased move is a normal way to do it.
